Updates and Mailing List

Manage Compliance Portal subscribers, review confirmation status, prepare compliance announcements, and queue approved updates for email delivery.

Each Compliance Portal has its own mailing list. Visitors can subscribe to receive compliance updates, and portal managers can add or remove subscribers from the console.

Open the portal, then select Updates. The Settings card at the top configures how your mailing list behaves.

  • Reply-to email: the address that receives replies when a subscriber answers an update email, for example security@yourcompany.com. Use a monitored inbox so customer questions reach your security team.

People join the mailing list in one of two ways:

  • They subscribe themselves. A visitor signs in to your Compliance Portal and selects Subscribe to updates.
  • You add them. Open the portal, then select Updates → Subscribers → Add subscriber and enter their email address. Use this when a person has asked to join outside the portal. Do not add people without an appropriate basis for contacting them.

In both cases, the new subscriber must confirm by email before they receive any update.

  1. Subscribe

In the Subscribe to updates dialog, the visitor enters their email address and selects Subscribe. The dialog states that they agree to receive compliance updates from your company and can unsubscribe at any time.

  2. Confirm by email

Probo sends a Confirm your subscription email. The subscriber selects Confirm subscription.

  3. Subscription confirmed

A Subscription confirmed page tells the subscriber they will now receive updates. Their status changes from Pending to Confirmed.

Subscribers you add from the console go through the same email confirmation.

Open the portal, then select Updates and the Subscribers tab. The subscriber list shows each person’s name, email address, subscription status, and subscription date.

  • Pending subscribers have not completed confirmation and do not receive updates.
  • Confirmed subscribers receive updates.
  • Removing a subscriber stops future sends to that address.
  1. Open Updates and stay on the Updates tab.
  2. Select Add update and enter a title and body.
  3. Review the draft for confidential or customer-specific information.
  4. Select Send, review the confirmation, and confirm the send.

A new update is saved with the Draft status. Each draft in the list has three actions:

  • Send: opens the Send update to subscribers confirmation, which shows the title and body that will be sent to all current subscribers.
  • Edit: changes the title or body before sending.
  • Delete: removes the draft.

Sending queues the update for delivery and cannot be undone. A sent update becomes read-only; create a new update if you need to issue a correction. Delivery also requires working outbound email configuration.

Sent updates appear in the portal’s Updates section as a news feed. Signed-in visitors can choose Subscribe to updates and unsubscribe later. A subscription affects email delivery only; visitors can still read published updates without subscribing.

The Compliance Portal MCP tools can list subscribers, create and edit drafts, and queue sends. Treat sendMailingListUpdate as an external side effect and require an explicit review step before calling it.
